Welcome to everyone and thank you for entering our competition, which is being held around the beautiful area of Roseberry Topping.  Aireyholme Farm is situated in lovely surroundings and we all hope that you enjoy what has been set out for you.  Aireyholme farm is a working farm.

Our thanks must go the landowners The Phalps Family,  to the various agencies whose land we cross where permissions have been granted , and to our many riders & judges who have come forward to ride and help.

Please read all the information carefully and, if possible, please try to attend our Competitors briefing for everyone on Friday evening at 7pm which will take place in the large barn shown on the maps which have been emailed and will shortly be added here.  These briefings help you to understand the area and also give you the chance to ask sensible questions.  There is one briefing for everyone then an additional one for the L3 and L4 competitors.  All notes will be on the notice board afterwards but it is always better to hear first hand how the two traceurs have looked at the area.

Directions:  Naturally always check your route prior to starting your journey; signs will be placed in the village of Gt Ayton pointing you down the high street towards the farm.  Lanes in the area are fairly narrow but large vehicles use it regularly.  On arrival at the field, perhaps park up and check where you want to corral.  There is plenty of grass and toilets will be placed as you enter and along the field side.  Water can be found near the farm vending machines.

You can access the site from 3pm on Friday.  Some competitors are travelling from the south & Scotland and have been given permission to arrive Thursday evening. If you are arriving on Thursday afternoon and find you have time, the Organisers  would welcome help with setting up the PTV  – thank you.

Corralling: I believe the  a crop of hay has recently been taken off the field we are using so please be aware of this and  that you may require  hay for your horse.

The water point for the weekend will be shown on the site plan but is adjacent to the vending machines..  There will be a bucket on site for disposing of your horse poo.

Camping:  is opposite the corralling field and there is a pedestrian access gate from one to the other.  PLEASE DO NOT PUT CAMPING TENTS UP IN THE CORALL FIELD – IF YOU DO YOU WILL BE ASKED TO REMOVE THEM.

Checking of Hats etc. will take place in the barn and you will receive an envelope which includes your emergency numbers and for those having a meal on Saturday evening a wrist band as well – please bring this with you – no band – no tea.

Communications:  There will be a WhatsApp system set up for all which is always extremely useful although some Mobile phones may have a few problems with connections but you will understand why when you see the area.   Please can you, as competitors, log into the link below with your mobile number/s, this will then give everyone access to information. You will receive acknowledgement of your log in and are then ready to receive communications.

Dog Welfare:  If you are intending to bring your dog for the weekend, we ask that you ensure somebody on the site will have access to your vehicle at all times to ensure that your pet is not under any stress i.e. due to heat both outside (should the sun shine) & especially in your vehicle  The Organisers are not  responsible in any way for the care of your pet.  ALL DOGS NEED TO BE ON LEADS AT ALL TIMES WITH NO EXCEPTIONS.  If it is going to be a warm weekend then we ask that you give consideration to leaving them at home.

Map Room:  DRAW WHAT YOU SEE ON THE MAP –The barn is a large space and easily identified. 
Please observe silence and respect for competitors in the map room – no gathering around the door.  Please record and keep an eye on your times.

PTV  – a course walk will take place on Saturday evening and is being led by the TREC GB international squad – a donation from everyone will be gratefully received and will go towards their travel to The Netherlands in September. The squad will also be running a raffle and any prize donations will be greatly appreciated – just flag down a member of the squad (but not on their way to the map room or warm up) to donate or buy tickets!

Timings for the MA/PTV  may vary for various reasons during the morning  – please watch out for communication of any changes on the board and on WhatsApp.

SATURDAY Evening meals:  Meals will be served from 6.30pm in the barn.  Plates & cutlery are always a good idea to bring along.!!

SUNDAY MEALS:  Bob Kay will be running a BBQ system during the day where he will be servicing a range of sandwiches  – we ask that you contribute to the cost of this service by having the correct change available of around £3 per item.  Hot drinks will be available adjacent to the BBQ but you need to bring your own beaker – this service is foc.  

The farm also have a coffee and cake vending machine.  Coffee is £2.  Fresh farm eggs are available.

Photographer:  The photographer for the weekend is Sally Coles and you will be able to purchase any photographs though her website which is:  www.sallypcolesphotographyweebly.com.  Unfortunately the arrangement we had with the photographer when the schedule went out has been cancelled.

What more is there to say except PAULA K, KATIE M, PETER B & PAULA B all hope you have a fabulous weekend.  As you all know it takes a lot of pulling everything together to make these competitions happen.  We are around to help you – please ask.   Enjoy everyone.
