PERSONAL ASSISTANT

Summary of position: 

Reporting directly to Technical Director, the Personal Assistant serves as the primary point of contact for internal and external parties on all matters pertaining to the Technical and Development Department.

The Personal Assistant also serves as a liaison to FAM Committees directly related to Technical and Development Department as well as the various Units under the Department; organizes and coordinates external relations efforts; and oversees special projects as and when required by the Technical Director. 

Requirements: 
  • Minimum SPM with 10 years experience in secretarial works; or Diploma with 5 years of experience in secretarial works; or Degree in any discipline with 3 years of experience in secretarial works.
  • Experience in working with sports team administration or sports related agency or body is an advantage.
  • Highly interested in football and possess sufficient knowledge of football is also an added advantage.
  • Ability to prioritize work and able to work under pressure, as well as co-ordinating information and resources internally and externally.
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Strong verbal communication, written and administration skills.
  • Proficient in both English and Malay (spoken and written).
  • Proficiency in Microsoft Office.
Responsibilities: 
  • Completes a broad variety of administrative tasks for the Technical Director including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the Technical Director’s schedule is followed and respected.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Technical Director, including those of a sensitive or confidential nature.  Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between Technical Director and other Departments and Units in FAM; demonstrating credibility, trust and support towards FAM’s management.
  • Works closely and effectively with the Technical Director to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks as instructed from time to time.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Edits and completes first drafts for written communications to external stake holders.
